This might be because parts of the business are developing in very different ways, or it may be because you have a buyer for one part, but not for the other. Whatever the reason, you may have thought that you could simply transfer out the business and assets that you want to separate; but IT separation is a complex process.</p>
<p style="text-align: justify;">An adapted standard IT project methodology can provide an effective framework for managing IT separation successfully. A careful assessment of the complexity of the separation is an important component of this approach and underpins effective project planning and the allocation of appropriate time and resources. We have carried out IT separation projects across a wide range of industries, where our project methodology has been proven to deliver successful IT separation and, for many clients, significant IT optimization benefits. The key elements of our approach are:</p>

<p style="text-align: justify;">Corporate restructuring has an important role to play in both these scenarios. Since IT has evolved from a supporting business task into a “business enabler” it is nowadays a driver for business success and sustainability that needs to be dealt with in de-merger projects. IT separation is concerned with separating a business’s IT from a company’s core structure without damaging the remaining business. Yet this brings complex challenges with it. Questions that might immediately arise include: How to manage IT separation projects? How should existing data be divided between the new entities? How complex will the process be – and how is it best managed? What about system replacements and new resources?</p>
<p style="text-align: justify;">These are difficult questions, but finding the right answers will be fundamental to the future sustainability and success of any carved-out or de-merged businesses. Our project examples show that enhancements gained by IT separation can reduce IT operational costs by up to 50%, although a significant initial investment in implementing change is required.</p>
<h3 style="text-align: justify;">IT separation with an adapted IT project methodology</h3>
<p style="text-align: justify;">IT separation projects can be carried out successfully using a standard IT project methodology modified to address the distinct challenges presented by IT separation activities specific to IT separation projects:</p>

-Identify opportunities to optimize IT<br />
-Identify new IT organization and skills<br />
-Planning and migrating data</p>
<h4 style="text-align: justify;">IT separation complexity</h4>
<p style="text-align: justify;">The complexity of an IT separation project is determined by the degree to which the IT systems of the two entities are dependent on each other. Complexity is driven primarily by the degree to which applications are shared or integrated. The number of applications, the technical environment in which they are used and the volume of transactions managed by these applications also have an impact on complexity and business risk.</p>

<h4>OPPORTUNITIES TO OPTIMIZE IT</h4>
<p style="text-align: justify;">IT separation projects provide the opportunity to re-consider a company’s IT capabilities from both a business perspective, shaped by strategic business questions, and a technology perspective focused on improving IT capabilities through technology enhancements and innovation</p>

<h4>New IT organization and staff skills</h4>
<p style="text-align: justify;">Establishing a clear organizational structure from the very beginning is a key requirement for IT separation success. An IT separation agreement between the two entities is valuable for establishing an agreement on key issues. These issues include a list of infrastructures and agreement on ownership, the cost of transferring hardware and software, and the price of any services to be delivered by the parent company after the separation.</p>

<h4>PLANNING AND MIGRATING DATA</h4>
<p style="text-align: justify;">One of the final and most critical aspects of IT separation is data extraction and migration to the new entity. The first step in data migration planning is to identify the data that must be extracted or replicated. This stage includes addressing issues such as application changes or legal ownership of data. Next, the migration specification is developed. It defines the actions needed to migrate the data successfully, for example, which are the relevant databases and how data will be consolidated before migration. The complexity driver for these first two steps is the complexity of the data model, not the volume of transactions.</p>
<p style="text-align: justify;">The three remaining steps involve the transfer of the data to the new entity. Before data migration takes place, a test migration system is built and may incorporate either migration tools provided by ERP vendors or custom developments. The data is then “cleansed” before being transferred, in the final step, to the new application environment. The major complexity driver of data migration is data volume, as the higher the volume of data<br />
the greater the number of migration exceptions that are likely to occur. Methods or processes need to be established to resolve migration exceptions either automatically or manually.</p>
<h2 style="text-align: justify;">Key IT Components of the SPLIT</h2>
<p style="text-align: justify;">IT is usually the largest source of TSA items because it includes everything from IT infrastructure and document management to application interfaces and company websites. Every demerger should address the following IT concerns:</p>
<ul style="text-align: justify;">
<li><strong>Software licenses:</strong> Some vendors object to allowing their use—referred to as the Right to Use (RTU) by the sold business during the TSA.</li>
<li><strong>Third-party connectivity</strong>: Customers, suppliers, and others will have to get involved in the transition from the selling company environment to the buying company environment.</li>
<li><strong>Shared locations</strong>: All infrastructure items, from networks, wiring closets, and data rooms, to printers and phones, need to be segregated.</li>
<li><strong>Third-party agreements:</strong> Infrastructure and/or application support often fall into this category.</li>
<li><strong>Cloud environments:</strong> Consider not only who will “own” data currently stored in the cloud, but also the cost to transition to the buying company environment.</li>
<li><strong>Help desk:</strong> A divestiture often requires an interim process so the help desk can transition from buying to selling company, while still managing calls between the seller and buyer help desks.</li>
<li><strong>Alignment and transitioning:</strong> Cybersecurity policies usually differ, so it’s important to ensure that all IT items in the TSA comply with both policies.</li>
</ul>

Technology, the way we do business, and consumer demands, are changing so fast that the bright and shiny hardware you invested in just a few years ago can become unfit for the purpose very quickly. It’s important to be able to recognize when you need to upgrade, and how best to go about it to ensure minimum disruption to your processes.</span></p>

<h2 style="text-align: justify;">Why Do You Need an IT Infrastructure Overhaul?</h2>
<p style="text-align: justify;">The obvious reason why you might need an IT infrastructure overhaul is that <a href="https://www.networkdr.com/insights/the-importance-of-a-pc-refresh-cycle" rel="noopener">tech hardware doesn’t really have a very long lifespan</a>. Desktop and laptop computers last for between three and five years on average, as do servers, so as part of machine management, it makes sense to replace or upgrade them before they start to wind down and become inefficient.</p>
<p style="text-align: justify;">On top of that is the change in the ways we now work. Companies are increasingly moving towards remote working policies, where staff can (and often prefer to) use a mobile device to connect with and access the business network. In order to meet this need, they have to restructure their IT assets. Computers sitting idle in the office are a waste of money when IT spend could be used to furnish staff with their own mobile device.</p>
<p style="text-align: justify;">Similarly, the need for team members, clients, stakeholders, and consumers to have on-demand access to data from anywhere, and the exponential growth of that data, means older machines and servers that can’t accommodate this, or suffer performance issues while struggling to, need to be replaced.</p>
<p style="text-align: justify;">Security is also an issue because the older your operating system, the more vulnerable it will be to <a href="https://www.networkdr.com/wp-content/uploads/Flyer_cybersecurity.pdf" target="_blank" rel="noopener">malware or ransomware attacks</a>, as well as data loss.</p>
<h2 style="text-align: justify;">The Challenge of Cost and Business Continuity</h2>
<p style="text-align: justify;">The main objections to an IT infrastructure overhaul are that it will cost too much and that it will disrupt daily business activities and processes, resulting in downtime the company can’t afford. This can lead to putting it on the long finger, but the longer your business goes without upgrading, the more outdated the IT becomes, meaning even bigger costs further down the line.</p>
<p style="text-align: justify;">Simple upgrades to specific areas now could mean avoiding having to do a complete overhaul next year, so it makes sense financially to look at what you can improve on within your IT budget.</p>
<p style="text-align: justify;">Upgrades to the technology infrastructure also make a lot of business sense because they enable new processes that can help you innovate and future-proof, keeping you ahead of the competition. IT is central to the operations of every modern-day business, so keeping it up to date is actually a key business investment that improves efficiency and productivity.</p>
<p style="text-align: justify;">When it comes to the concern that business processes will be disrupted, this doesn’t necessarily have to be the case. By planning and carrying out your overhaul properly, you can implement the changes you need and ensure a smooth transition without having to face much downtime.</p>
<h2 style="text-align: justify;">Steps to Take for a Pain-Free Overhaul</h2>

<p style="text-align: justify;">As with any business process or strategy, nothing should be undertaken without a solid plan. Before the IT infrastructure overhaul, plan out each step so everybody knows what needs to be done when it needs to be done, who will oversee each task, and who will be affected by the change.</p>
<p style="text-align: justify;">This will map out for everybody involved exactly what is going to happen, so there will be no nasty surprises and less chance of an interruption to business.</p>
<p style="text-align: justify;">Many companies choose to <a href="https://www.networkdr.com/insights/7-services-you-should-receive-from-your-msp" rel="noopener">outsource the IT overhaul to an external service provider</a>, and they should provide a detailed plan of action for you that meets your current and future needs.</p>
<h3 style="text-align: justify;">Audit</h3>
<p style="text-align: justify;">Of course, before you start upgrading your IT infrastructure, you need to know exactly what that includes, so an audit of the company’s current IT assets is necessary. Create a detailed inventory of your existing hardware and software that includes version, CPU, memory capacity, when it was purchased, the software installed on it, the expiration date of the warranty, the user, and its purpose.</p>
<p style="text-align: justify;">Once you know what you have and when each asset needs to be upgraded, you can start to put the plan in place.</p>

They can perform the audit for you to assess your IT infrastructure and advise on priorities, but they can also define your IT roadmap and align it with the overall business strategy, reducing the total cost of ownership and meeting business objectives.</p>
<h3 style="text-align: justify;">Make a Decision</h3>
<p style="text-align: justify;">Once you have a clear picture of what needs to be upgraded as a matter of priority and <a id="__hsNewLink" href="https://www.networkdr.com/insights/how-can-your-company-improve-technology-without-overspending" rel="noopener">what fits into the IT budget,</a> you can start to make decisions regarding the extent of the IT infrastructure overhaul.</p>
<p style="text-align: justify;">SMEs and companies with a limited IT budget could choose the temporary solution of upgrading specific components, such as increasing memory, renewing warranties, and adding more processors, hard disks, and networking equipment, as well as replacing individual devices or machines that are clearly ready for the scrapyard.</p>
<p style="text-align: justify;">This enables the business to spread upgrade costs over time and can extend the IT infrastructure lifespan for a couple of years, but it does mean that the business may find itself in a cycle of constantly upgrading.</p>
<p style="text-align: justify;">A better option, if you can afford it, is to replace all of your hardware and buy in the devices and machines that will best suit your business now and in the coming years. This does mean a larger investment up-front, but it is just that &#8211; an investment – and barring a tech disaster, should last for half a decade.</p>
<p style="text-align: justify;">You can also use financing to spread the costs over the lifespan of your IT assets, and if you outsource the process, the service provider should be able to bring in cost savings through volume licensing and leasing.</p>
<p style="text-align: justify;">Another option is to consider <a id="__hsNewLink" href="https://www.networkdr.com/insights/cloud-vs-on-premise-solutions" rel="noopener">moving to the cloud</a>, so that your storage, server, and hardware are all connected and hosted online. Apart from the cost savings that come from replacing your traditional server with an online one, and leaving its maintenance with the provider, the advantage of this model is that it enables all users to access your network from anywhere, at any time, from any device, meeting the needs of the modern business.</p>
<h3 style="text-align: justify;">Inform Staff</h3>
<p style="text-align: justify;">An IT infrastructure overhaul shouldn’t be a secret or a surprise, so all users within the company need to be informed of the process and know exactly what is changing, and when. Unexpected downtime will impact their ability to get their job done and could cost the business money, so keep them up to date on the upgrades, and put in place a contingency or business continuity plan, should things go awry.</p>
<p style="text-align: justify;">You should also include training for all staff if any of the upgrades mean a change to processes, and this should extend to after the event should it be needed to get everybody up to speed and used to the new system, machinery, or devices.</p>
<h3 style="text-align: justify;">Act at the Right Time</h3>
<p style="text-align: justify;">Putting a temporary halt to business processes to implement the overhaul or upgrades is necessary, but this should be done at a time when nobody is likely to be using them. Make the replacements after business hours or on a weekend, so staff can return to work and start using their new machines or devices immediately as if nothing has happened.</p>
<h3 style="text-align: justify;">Constantly Assess</h3>
<p style="text-align: justify;">Changes in technology are continuous, and in order to stay ahead of the pack, your business will need to constantly assess whether your IT infrastructure meets your needs as you develop and grow. You should use the information gathered at the planning and audit stage to identify not just how long you can expect your IT assets to last, but also what other technology you can implement to improve efficiency and innovate.</p>
<p style="text-align: justify;">Your IT team should be able to advise on this, but so too can an external IT service provider, who, with their finger on the pulse of the latest IT innovations, can advise on the best IT infrastructure strategy for your business.</p>

<h3>How the attack started:</h3>

<p>While, at a glance, this email might look real, it’s not. The scammers who send emails like this one do not have anything to do with the companies they pretend to be.</p>
<h3></h3>
<h3>Red flags spotted from the email:</h3>
<p style="font-size: 24px;"><span style="text-decoration: underline;"><img decoding="async" style="width: 867px;" src="https://www.networkdr.com/wp-content/uploads/highlight-phishing-email-office-365.png" alt="highlight-phishing-email-office-365" width="867" /></span></p>
<p>If you look closely, the FROM ADDRESS had an unfamiliar subdomain. Though Microsoft uses many subdomains, @security-acc subdomain is not one of them. The images were blurry and not coming from an original source. Instead, the images were coming from a URL shortener.</p>
<p>Finally, all three hyperlinks were directed to one URL.  That URL was not Office 365 or its affiliates.</p>

<h3>A link to a normal-looking website?</h3>
<p>Clicking on the link opened up a website in the end user&#8217;s default web browser application – in this case, Microsoft&#8217;s Sign In page.</p>
<p>The website looked similar to this:</p>

<h3>Red flags on the phishing website</h3>

<p>If this is your first time seeing this page, it may appear as a legit login page for Office 365, but look closer, there are several red flags. The URL in the address bar is not a legit Office 365 URL, and the copyright year was not current. All the links on this page redirect back to the page below instead of taking you to the proper page such as Terms of Use or Privacy &amp; Cookies. Finally, the page formatting was not adjusting to the size of the browser; common for quick phish websites.</p>
<p><strong>After entering a username, it continues to the password page with the same red flags as before.</strong></p>

<h3>Something is wrong:</h3>
<p>After submitting a password, it redirected him to the Microsoft Privacy page (the legit one) while the username and password information was sent to the phisher.</p>

<h3>Alerting IT, determining the scope of the problem</h3>
<p>We received an email notification from our Security Operations Center (SOC) regarding a suspicious sign-in from an unauthorized country.</p>
<p>It appears that the attacker’s <strong>fake Microsoft website had successfully harvested the employee&#8217;s company login credentials – and resulted in a password compromise</strong>.</p>
<p>Malicious emails were sent from his account to vendors/customers persuading them to send payments to updated bank accounts that were owned by the attackers. Then the hackers created a mailbox rule to delete all inbound traffic to hide any response from the human user.</p>
<h3>Change your password &#8211; NOW!</h3>
<p>This was suddenly a potentially very serious security incident. We immediately took the following remediation steps:</p>
<ul>
<li>Reset the user’s compromised password enabled MFA for all employees to avoid this in the future.</li>
<li>Checked other accounts that were re-using the same compromised password, and reset those passwords too (this incident illustrates why it’s a bad idea to re-use passwords)</li>
<li>blocked the account from signing in, which would have required manual interaction by a Network Doctor admin to “unblock” the account and pretty much prevented further compromise. Otherwise, the attacker could have easily signed back in after getting knocked out, failed to succeed, and proceeded with attempts to guess and re-sign in with the “reset” password</li>
<li>Checked Outlook for suspicious activity (new forwarding rules, changes to account settings, email forwarding addresses, etc)</li>
<li>Informed other employees about the phishing email and scheduled a cybersecurity training for the entire company</li>
</ul>
<p>Fortunately, the attack was detected and mitigated relatively quickly and no permanent damage was done.</p>

Their hardware (renders and V-Ray’s) used to be ramped up occasionally for big projects and for other days the machines would sit there and not be utilized to their maximum.</p>

<p style="font-size: 16px; text-align: justify;">To support new growth objectives for the firm and control costs, Network Doctor suggested a virtual desktop infrastructure (VDI) solution.</p>

<p>Following a Proof of Concept that achieved the performance they required, both teams worked closely to deploy <a href="https://www.citrix.com/" rel="noopener" target="_blank">Citrix Cloud services</a> on the <a href="https://azure.microsoft.com/en-us/" rel="noopener" target="_blank">Microsoft Azure Cloud Platform</a> using VDI’s with high-performance GPU graphic cards. The firm moved from CapEx (capital expenditures) to OpEx (operating expenditures) which allowed them to be more nimble financially.</p>

<p style="font-size: 16px; text-align: justify; padding-left: 440px;">The ability to fluctuate computing power on demand allowed great performance and financial flexibility in Microsoft&#8217;s redundant infrastructure environment. The firm is now saving money on maintenance and running costs for rendering machines, V-Ray’s, and servers. For rendering, they now have the scalability to increase resources which provides more CPU power resulting in less time rendering.<br />
In addition to the efficiency gains achieved by reducing rendering time, designers and engineers are also able to work more productively and access their virtual desktops from any location.</p>
